As the Renter you are responsible to report your fuel receipts when your rental ends or monthly if the rental exceeds 30 days. This is necessary for Owners of the vehicles you are reserving to do their quarterly International Fuel Tax Agreement (IFTA). With COOP, our Renters often apply their IFTA qualified license decal to their trucks while they are operating them. To avoid any fees, upload your fuel receipts to the platform for each of your reservations.
If you are the vehicle Owner, as with all interstate motor carriers, you must report fuel taxes as described by the IFTA. Vehicle Owners are responsible for obtaining the permits and reporting their fuel receipts to IFTA.
To qualify for a COOP account and rent vehicles on the platform, your business will need to meet the following requirements:
All businesses must pass a financial history check. COOP uses a Dun & Bradstreet (D-U-N-S) number to help us learn more about your business. Look up your D-U-N-S number here or, if you need to, create a D-U-N-S number for your business.
Meet Compliance, Safety, Accountability (CSA) score requirements. We also use this safety compliance and enforcement program of the Federal Motor Carrier Safety Administration (FMCSA) that holds motor carriers and drivers accountable for their role in safety to determine rental eligibility.
To rent certain vehicle types in certain states, a USDOT# is required. We review the DOT number history to ensure it meets our safety and operating standards. The information you provide to the Department of Transportation (USDOT#) must match the information you provide to COOP. This includes your company’s email, phone number, and the representative name.
After your account has been created, your business will have access to reserve different vehicles. Requirements for renting a vehicle differ depending on the type of vehicle and are listed below:

Once a Renter drops off a vehicle, Owners will receive a message and have to confirm that their vehicles have been returned. Please note: Owners must also submit vehicle photos after each rental in order for a damage claim to be reviewed in case of an incident.
We recommend that you or someone from your business inspect the vehicles to confirm they were returned in the same condition as they went out.

If a vehicle was not returned, you can click “No, vehicle was not returned” and it will be escalated to our team so that we may contact you and the Renter regarding the reservation.
If the vehicle was returned, but you need help with a reimbursement request for tolls, fuel, damage, or something else, you may still confirm that the vehicle was returned and open a ticket in the Support Center. You will have the option to do so upon confirming the return of a vehicle. You can click on the “Document Vehicle” button to add the mileage, fuel level, or vehicle condition of the return. Additionally, you can contact COOP claims to create a ticket for a service or damage related incident.
Remember that even if you have already confirmed the return of a vehicle, you can still create a ticket through the Support Center.
Reimbursement requests for tolls, taxes, citations, fees, fuel, or fines must be submitted within sixty (60) days from the date it was issued. Any incidents related to vehicle damage or service must be reported within fifteen (15) days from the contract end date of a reservation. Please be sure to submit tickets with as much information as possible, including pictures or receipts, to review and resolve the issue in a timely manner.
If you have an incident with a vehicle while on a rental, start by contacting our 24/7 Roadside Assistance service at 1-855-961-2413. Our dedicated COOP Support Team will strive to get you the necessary services as timely as possible and guide you to a local vendor.
Whether your vehicle needs a tow, replacement tire, or another service, our vendors will travel to you or open up shop to get you back on the road. Costs incurred from Roadside Assistance services are charged to the Renter or Owner depending on who is responsible for the incident.

The best option is to get coverage directly from COOP. It makes the account setup process easier and will be included with your reservation. We work with Reliance Partners through United Specialty Insurance Company to offer quality coverage at competitive rates.
Liability and physical damage insurance through COOP are charged at a flat daily rate based on vehicle type for the length of a rental. The insurance rates for your reservations are shown in the price summary breakdown before requesting to rent vehicles. Plus, we also include roadside assistance for access to our trusted network of vendors on reservations.
